The problem

The business ran its entire order lifecycle through linked spreadsheets — a quotation workbook, a proforma workbook, a tax invoice workbook, a commercial invoice, a packing list, and supplier purchase orders. Every document repeated the same line items, and every revision meant re-entering them. Pricing was a formula living in one person's head and a set of fragile cells.

The approach

Discovery started from the client's real files rather than a requirements questionnaire. Each workbook was mapped field by field — number series, revision rules, tax treatment, currency, and how values flow from one document into the next.

Quotation

Priced from a catalogue and a formula rather than a fixed list, with revision numbering carried through every downstream document.

Proforma and tax invoice

Separate number series per document type and financial year, matching the formats the business already issues.

Commercial invoice and packing list

Export documentation generated from the same order, so line items and quantities cannot drift between them.

Supplier purchase orders

The buy side of the same order, kept against the job it belongs to.

That mapping produced a written pricing engine specification and a phased scope before any code was written — catalogue, pricing, quotation and proforma first; export documents, multi-currency, and supplier purchase orders second; payments, dashboards, and reporting after that.
