What school ERP actually costs, and where the quote hides money

Two quotes for school software are almost never comparable. One is per student per year with everything included, the other is a low per-student figure plus modules, plus implementation, plus training days, plus a charge per SMS. The second usually costs more.

The three pricing shapes

Per student per year is the most common and the easiest to budget. It scales with the thing that actually drives your usage, and a 400-pupil school does not pay like a 4,000-pupil one.

Per module is where comparison breaks down. A headline price covers attendance and fees; examinations, transport, library, hostel and the parent app are extra. The quote looks cheapest and ends up highest, because the modules listed as optional are the ones you will switch on within a year.

Flat annual licence appears mostly from local vendors and is genuinely simple, but check what happens when you grow, and what happens in year two — a first-year figure that renews at a different number is common.

Where the money hides

Ask about each of these explicitly. Silence on any of them is an answer.

  • Implementation and data migration. Moving several years of pupil records is real work. Some vendors include it, some charge a one-time fee larger than the first year's licence.
  • Training, and specifically training after the first batch. Staff turn over. If each session is chargeable, budget for it annually.
  • SMS and WhatsApp messages, usually billed per message and easy to underestimate — a fee reminder to 500 families is 500 messages.
  • Payment gateway charges on fee collection, and crucially whether they come out of the school's account or are marked up by the vendor.
  • Report and document customisation. Your report card has to look a particular way. Ask whether changing it is included or quoted per template.
  • Support response time, and whether a faster tier costs more. Slow support during admissions week is expensive in ways that do not appear on an invoice.
  • Year-two renewal, in writing. This is the single most common unpleasant surprise.

The cost nobody quotes

Staff time. A system the office fights costs more than a more expensive one they use, and it is invisible in every comparison spreadsheet.

The usual cause is software that models a workflow the school does not have — a fee structure that cannot express your concessions, so the clerk keeps a parallel register. At that point you are paying for the software and still doing the work by hand.

Which is why the most useful thing in a demo is not the feature list. It is asking them to enter your actual fee structure, your actual grading rule, your actual report card. If that takes them an hour and several caveats, you have learned the real price.

Getting comparable quotes

Send every vendor the same written brief: pupil count, boards, mediums, the modules you need now, the ones you expect within two years, and how many staff need training. Then ask each for a single all-in annual figure for years one and two, with anything excluded listed explicitly.

Most vendors will resist, because unbundled quotes are easier to win with. The ones who answer cleanly are telling you something about how the next three years will go.
